What is the AloAi missed call handler?

The AloAi Missed Call Handler is an account-level feature that automatically routes missed inbound calls to a system-managed AloAi voice agent. When no agent answers within your routing rules, AloAi steps in to greet the caller, collect intent, gather details, and store a clear record for follow-up.

Admins manage the setting centrally under Account → Calling Settings, ensuring consistent behavior across all Lines and Ring Groups. Interactions handled by AloAi include transcripts, notes, and (optionally) recordings, all aligned with your CRM data and reporting tools.


Why this feature matters

Missed calls can lead to lost opportunities, especially during off-hours or when agents are handling multiple lines. Instead of ending the call or sending it to voicemail, the AloAi Missed Call Handler acknowledges the caller and captures essential information.

Because it's managed centrally, admins avoid misconfigurations across individual lines or ring groups. Any change made at the account level immediately applies everywhere. All actions, activations, deactivations, and pricing consent are tracked in audit logs to maintain transparency.

AloAi never overwrites existing CRM data. Instead, it attaches its notes, transcripts, and recordings to the contact’s communication history so agents can follow up with full context.


How to enable and configure AloAi missed call handler

Admins manage this feature at the account level. Enabling it ensures consistent behavior across all Lines and Ring Groups.

  1. Access the AloAi missed call handler setting
    Go to Account → Calling Settings and locate the AloAi Missed Call Handler option.

  2. Review and approve pricing
    The first time you enable the feature, a consent window appears showing the rate of $0.10/minute for AI-handled calls.


    Click Accept & Enable to proceed. This confirmation is required only once and is recorded for audit purposes.

  3. Configure the AloAi bot
    After enabling the feature, Aloware automatically creates an AloAi bot.

    Admins can rename the bot for easier identification and adjust voice and language settings to match your business preferences.

    The bot cannot be deleted, ensuring continuous reliability.


    All Lines and Ring Groups will show Managed at account level by AloAi, indicating that missed-call settings follow the global configuration.

    To check this, go to Lines > select the line > settings > IVR and Routing tab

  4. Verify recordings and compliance
    By default, all interactions are recorded and transcribed. Admins can optionally enable:

    1. AloAi Voice Analytics for deeper conversational insights

    2. Standard Aloware call recording for higher-quality audio and metadata

Admins should confirm that greetings and disclosures meet local compliance requirements.


How an AloAi missed call begins

Initial call connection

Every inbound call to your Aloware number begins by following your existing routing configuration. The system checks the assigned lines, ring groups, or IVRs to determine where the call should go first.

Routing and attempt to connect

Once the routing is identified, Aloware attempts to connect the caller to an available agent. It follows your routing priorities, ring durations, and escalation rules until either an agent answers or the call raches your configured timeout.

Missed call detection

If no one answers within the set timeframe, Aloware marks the call as missed. Normally, this would mean the caller hears a voicemail or the call ends. But with AloAi Missed Call Handler enabled, something different happens.

Instead of disconnecting, Aloware automatically forwards the missed call to AloAi, an intelligent voice agent that immediately takes over to greet the caller, gather details, and keep the interaction going.


When AloAi takes over the call

Once the call is passed to AloAi, the voice agent steps in right away, making sure the customer still feels acknowledged and assisted.

You’ll hear AloAi greet the caller using your configured voice and message, such as “Hi! You’ve reached [Company Name]. I’m here to take your message.”

From there, the AI starts the conversation naturally:

  • It asks for the caller’s name and the reason for calling.

  • If needed, it requests a callback number or additional details.

  • AloAi listens actively, confirms what it heard, and makes sure the caller’s message is clear before wrapping up.

To the caller, this feels just like talking to a real representative, friendly, efficient, and uninterrupted.

Recording and transcription

While AloAi handles the call, everything is automatically recorded and transcribed.
These details are securely stored in your Aloware Communication Info, making it easy for your team to review what was said, when, and why.

By the time the call ends, you already have:

  • A complete recording of the interaction

  • A written transcript

  • A clear record that it was Handled by AloAi

No calls are lost, and no follow-up starts from scratch, AloAi ensures every missed call is captured with full context.


After the call: How Aloware records it

Once AloAi ends the call, Aloware automatically turns the interaction into a completed communication record. You don’t need to do anything, it’s all logged and ready for review.

What gets stored

To view the full details:

  1. Open Communication Info.

  2. Click More details on the call entry.

You'll see a breakdown of the interaction, including:

  • Call direction – marked as Inbound.

  • Timestamp and duration – showing when and how long the call lasted.

  • Caller details – name, number, and any information AloAi gathered.

  • Audio recording and transcript – so you can replay or read the conversation anytime.

  • AI summary and notes – AloAi automatically adds a short recap of the caller’s intent and message.

  • Handled by AloAi label – so you can immediately identify AI-managed missed calls

When a call gets transferred

If the missed call is forwarded or transferred to another user or ring group before AloAi takes over, Aloware logs this activity as well.


In this case, you will see two separate communication records:

  1. A completed call marked “Handled by AloAi” showing the full AI-managed interaction.

  2. A transferred call record, documenting where the call was routed before the AI handled it.

This gives your team full visibility into the entire call path, from routing attempts to the final AI-managed completion.


How admins can review these calls

  1. Open your Admin Dashboard.

  2. Click AloAi Missed Call Handler in the dashboard filters.

  3. You’ll be redirected to a filtered list of users or contacts whose calls were handled by AloAi.

  4. Selecting any contact in the list opens the exact call record in Communication Info, where you can listen to the recording, read the transcript, and view the AI summary.

All of these details are stored under the contact’s profile in Aloware.

Contact linking

Aloware automatically attaches every AloAi-handled missed call to the correct contact record.

  1. If the number already exists, the call is added to that contact’s history, along with the recording, transcript, and AI notes.

  2. If the number is new, Aloware creates a brand-new contact and links the AloAi interaction to it right away.

This means every customer, even first-time callers, has a record waiting for your team to review, complete with the transcript, summary, and context.


Syncing the interaction to HubSpot (and other CRMs)

If your Aloware account is connected to a CRM like HubSpot, every AloAi-handled missed call is automatically synced. So your team sees the same information in both systems without doing anything manually.

As soon as the call ends, Aloware sends the details directly to the contact’s CRM profile so your team can view the same information without switching tools.

How the sync works

  • Aloware pushes the call data, transcript, and recording to the HubSpot contact timeline.

  • If the phone number doesn’t exist in HubSpot yet, Aloware creates a new contact record automatically.

  • Any HubSpot workflows you’ve set up — like “Create a follow-up task” or “Assign to a sales rep” will trigger right away based on the synced information.

Everything AloAi collects during the missed call (caller intent, notes, and message) becomes part of your CRM history.


Why this matters

This real-time sync keeps Aloware and HubSpot in perfect alignment. Your agents can log into either system and still see:

  • When the call happened

  • What the caller said
