As a Zoho Partner, we offer seamless integration between Aloware's sales dialer and Zoho CRM. With this powerful integration, you can pull/push contacts from Zoho to Aloware or vice versa easily.
For you to enable Zoho Integration features, first you need to authenticate.
You can authenticate Zoho Integrations under the Integrations Tab in the foremost left of the interface. From there, find the Zoho Integrations logo, click "Settings", enable the Integration Status, click "Authenticate" and it will redirect you to the log-in portal of Zoho. Enter your credentials, select your account, click "Submit", and then lastly click "Accept".
If you are already logged-in and the features are still not functioning, you might need to re-authenticate it.
You need to go to Integrations Tab > Zoho Settings > click “Re-Authenticate”, select your account, click "Submit", and then "Accept".
Connect to Zoho Users to Aloware
When you click this button, it will sync Aloware users with Zoho users. After processing, you'll receive an email that your request is finished.
Pull Lead Status from Zoho
With one click on this button, this will pull the updated lead status on all imported contacts from Zoho.
This button lets you push or pull leads or contacts from Zoho to Aloware. You can select from Contacts or Leads in the drop-down menu above the Push/Pull Contacts buttons.
Choose Events to Send - Filters events that will be sent upstream to Zoho. Note that if you select a filter but no options for that filter are selected, no events will be sent. Under the "Choose Events to Send" filter, there are several filters as well;
Direction – Filter contacts by communication direction, either inbound, outbound, or both.
Type – Filter contacts by communication type, call, SMS, RVM, email, note, Sys note, appointment, and reminder. You can select all or just one.
Communication Disposition Status – Filter contacts by disposition status, Completed, Abandoned, Missed, Failed, and Placed.
Contacts – Filter by contact type, either you want All the contacts, disposed of contacts, or just select a disposition type; Attempted Contact, Bad Timing, Connected, Contact in Future, Contacted, etc.
Skip Lines – Here you can exclude the contact lines that you don’t want to import to Aloware.
Duration– This filter lets you select only the contacts based on the duration/talk-time that is less than a certain period of minutes. (You can edit the minimum duration of the minutes to filter)
Qualified Contacts – Here, this filter will only create contacts when a qualified communication from a contact passes all the filters.
Don’t Create New Contacts – Enabling this feature will prevent new contacts from being duplicated. Aloware won't create a new contact, instead, it will only merge into a single contact.
Don’t Duplicate Contact Information – Enabling this feature won't duplicate the values in the contact details.
Don’t Update Contact Owners – It is clear that contacts have different ownership. When you enable this filter, Aloware won’t update/change the contact ownership of contact/s. If that contact has a listed owner in your integration, it will be the same in Aloware.
Note: "Don’t Update Contact Owners" feature also includes users, and agents as well.
Only Update Empty Fields – Enabling this filter updates only the contact details that have an empty field. Aloware won't update any existing details in a contact.
Note: Remember to click the "Save" button in to lower right of the HubSpot Settings interface after all the changes that you've made. (If you want the default options, just click the "Reset" button beside the "Save" button.
Import Zoho Custom View
You can pull the contact list from Zoho using the Tags tab. It enables you to pull your Zoho contacts seamlessly. Just click the “Import Zoho Custom View”, select a contact list from the preloaded lists, or look for your created list (if you created one), and then click "Import".
Note: All imported contacts from Zoho are automatically tagged as the name indicated from Zoho.
Note: You can also do different Tag Operations to the imported contacts from Zoho. You can split it, add it to Power Dialer, you can add it to Broadcast, or Assign it to your agents, etc.
Updating Zoho Contacts
Contacts from Zoho that are pushed to Aloware are simultaneously linked together. This means that if you edit or make some changes in Zoho, it will also be reflected in Aloware real-time.
Refreshing your Zoho Contact List
If you wish to update your Zoho contact list, there are two ways.
First, go to Tags then find your Zoho List. After that, click the numerical value (highlighted in red) under the "Number Of Contacts" column and it will automatically be updated.
Second, you can also re-import your Zoho list so any additional information will be added/updated.
Note: Tag list will always be unique even if you import it several times.
In the Power Dialer Tab, you can also add tasks to your Zoho contact list. First, click the Add Tasks Button, then go to the Integrations tab, and you’ll see your Zoho contact list.
Note: Options and settings are also available; Push contacts to Bottom/Top, Add Multiple Numbers, Prevent Duplicate Task Creation, Add Your Own Contacts, and Schedule a Task.
You can also pull your Zoho contact list in the Broadcast Feature. The Broadcast tool allows you to send Bulk Messages and Bulk RVMs (Ringless Voicemail) to your contacts for promotional and marketing purposes.
To find your Zoho contact list, find the Broadcast Tab in the left of the interface, click “New Bulk Message” or “New Bulk RVM”, then in the “Select Group of Contacts” type the Tag name of your Zoho contact list.
