HubSpot Settings

After you integrate HubSpot and Aloware, you will need to synchronize your HubSpot contact records, users, and lead statuses to Aloware.


Syncing Contact Records from HubSpot

Sync HubSpot Contacts to Aloware

Syncing contacts with Aloware lets you update the following contact records in either platform:

  • Contact Name

  • Email

  • Phone Number

  • Contact Owner

  • Associated Company

  • Last Activity

  • Lifecycle Stage

  • Lead Status

To sync contacts in Aloware and HubSpot:

  • In your Aloware account, go to the Integrations button

  • Click HubSpot Settings

    • Click the "Push Contacts" button to update your contacts from Aloware to your HubSpot account

    • Click the "Pull Contacts" button to update your contacts from HubSpot to your Aloware account

Sync HubSpot Users to Aloware

  • Click the "Connect your HubSpot users to Aloware" button to sync new users

  • The admin receives an email for every successful syncing

    📝Note - Make sure your agents have the same email address on Aloware and HubSpot.

Sync HubSpot Lead Statuses to Aloware

  • Click the "Pull Lead Statuses from HubSpot" to sync updated contact statuses to Aloware

Sync HubSpot Call Outcomes to Aloware

  • Click the "Pull Call Outcomes from HubSpot" button to sync HubSpot call dispositions Aloware, which will take a few minutes to finish the request. Once done, the admin will receive an email.


Filters

Enabling filter features will update selected records from HubSpot to Aloware.

  • Choose Events to Send - Filters events that will be sent upstream to HubSpot.

    📝 Note - If you select a filter but no options for that filter are selected, no events will be sent.

    • Direction – Filter contacts by communication direction; Inbound, Outbound, or both.

    • Type – Filter contacts by communication type; Call, SMS, RVM, Email, Note, Sys note, Appointment, and Reminder. You can either select one or select all.

    • Communication Disposition Status – Filter contacts by disposition status; Completed, Abandoned, Missed, Failed, and Placed.

    • Contacts – Filter by contact type; either you want All the contacts, Disposed Contacts, or just select a Disposition type; Attempted Contact, Bad Timing, Connected, Contact in Future, Contacted, etc.

    • Skip Lines – Here you can exclude the contact lines that you don’t want to import to Aloware. Just click the drop-down menu and select the line/s that you don't want to send to HubSpot integration.

    • Duration – This filter lets you select only the contacts based on the duration of talk time that is less than a certain period based on minutes. You can edit the minimum duration of the minutes to filter.

    • Qualified Contacts – This filter will create contacts when a qualified communication from a contact passes all the filters.

  • Don’t Create New Contacts – This filter only updates contacts that are already in HubSpot

  • Don’t Update Contact Information – When you enable this filter, any changes to a contact in Aloware won’t reflect or update in HubSpot which includes users, and agents

  • Don't Update Contact Lead Status in HubSpot – When you enable this, Aloware won't update the contact's lead status which is listed in HubSpot

  • Don’t Update Contact Owners – When you enable this filter, Aloware won’t update the contact owners that are listed in HubSpot

📝 Note - After setting your desired Filters, click Save. If you want to return to the default state, click the Reset button
