Syncing users in Aloware-Salesforce integration

The Salesforce Users synchronization feature in Aloware is designed to keep user data accurate and up-to-date across both platforms. By matching and updating users using their IDs and email addresses, this feature ensures that changes in user data are reflected with minimal manual intervention.

Synchronization process

  1. Aloware to Salesforce - when a contact or lead is updated or created in Aloware, it uses email addresses to locate and map the corresponding contact or lead in Salesforce, ensuring accurate owner field updates.

  2. Salesforce to Aloware - when an owner change occurs in Salesforce, Aloware updates the corresponding owner field by finding the associated email address on its platform.


Default fields on contacts and/or leads

Aloware supports the synchronization of several default fields between Salesforce and Aloware to ensure comprehensive data consistency. These fields includes:

Synchronization steps

Step 1: Setup integration

  1. Login to Salesforce and Aloware

    Access your Salesforce and Aloware accounts and navigate to the Aloware Integration settings.

  2. Select the object module (Contact or Lead)

    Choose whether you want to sync Contacts or Leads. Synchronization only works with one Salesforce object at a time. Refer to contact synchronization and lead synchronization for more details.


Step 2: Enable user synchronization

  1. Locate the sync users button - in Aloware's Salesforce integration section, find the "Sync Users" button.

  2. Initiate synchronization

    1. Click the "Sync Users" button to start synchronizing users between Aloware and Salesforce.

    2. Ensure that email addresses match across both platforms for successful synchronization.

  3. Verify synchronization - once the synchronization is complete, check the timestamp of the last user sync in Aloware.


Step 3: Configure synchronization settings

  1. Email notifications

    1. Ensure that the integration reports in Aloware's notification settings are enabled.

    2. This will send email notifications with details of the synchronized users to the admins.

  2. Identify and map contact owner fields - in the Contact Property Mapping section of Aloware, verify that the contact owner or lead owner fields are correctly mapped to Salesforce properties.

  3. Set synchronization directions - Configure the data flow direction as bidirectional, Salesforce to Aloware, or Aloware to Salesforce then Save.

Step 4: Editing and synchronizing contact/lead owners

  1. Change ownership in Aloware - select an existing contact or lead in Aloware, then change the Contact or Lead owner.

  2. Verify in Salesforce

    1. Log into Salesforce and navigate to the Contact/Lead details.

    2. Confirm that the Contact/Lead owner reflects the change made in Aloware.

  3. Test bidirectional updates

    1. Change another Contact/Lead owner within Salesforce.

    2. Refresh Aloware and confirm the Contact/Lead owner reflects this update.


Step 5: Restrict updates (Direction: Salesforce to Aloware)

  1. Configuration setting in Aloware - Configure the settings to restrict updates coming from Aloware to Salesforce.

  2. Test update restriction

    1. Attempt changing the contact owner in Aloware.

    2. Confirm in Salesforce that the owner remains unchanged, indicating the restriction is active.


Step 6: Create new contacts in Aloware

  1. Create a new contact

    In Aloware, create a new contact. Ensure the contact syncs with Salesforce.

  2. Verify automatic owner assignment

    1. Check that Salesforce automatically assigns an owner based on configurations.

    2. Modify the owner in Salesforce if needed and ensure the change is synchronized back to Aloware.
