Contact notes can be linked directly to a shared inbox from the Contacts page. Once assigned, the note becomes visible in the selected inbox’s timeline and can be accessed by anyone who has permission to work inside that inbox.
This makes it easier for teams to collaborate around shared leads and conversations while keeping relevant context visible where work is happening.
To understand when this option is available, it helps to look at where the note is created:
Notes created from the Contacts page include the option to assign them to an inbox.
Notes added from within an Inbox do not include this option, since they are already created in the context of that inbox.
The assignment feature allows you to link notes created from the Contacts page to an inbox after they are created.
How to assign a contact note to an inbox
Step 1: Open a contact record
Start by navigating to the Contacts page and selecting the contact that contains the note you want to link.
This action is performed from the contact record. Only notes created from the Contacts page will display the assignment option.
Step 2: Locate the “Assign to an inbox” option
Under each note on the contact record, you’ll see a text button labeled Assign to an inbox.
Click this button to continue.
A dropdown will appear showing the inboxes you have access to. Select one inbox from the list.
Once selected, the note is immediately linked to that inbox.
Reassigning a note
After a note has been linked, the button updates to Reassign note to an inbox.
If the conversation shifts or the note needs to be visible in a different shared workflow, click this option and select a new inbox.
The note will follow the visibility and access rules of the newly selected inbox.
