Understanding the filter settings

The HubSpot activity filters in Aloware control which communication events sync to your HubSpot contact records. While all activities sync by default, these filters let you precisely define what information flows between systems.


Controlling event-based activity syncing

Your primary control is a simple toggle at the top of the filters tab:

  1. Toggle to hide event filters (default view) - when event filters are hidden, Aloware will attempt to sync all supported activity types (calls, messages, notes, etc.) to HubSpot without applying specific criteria like direction or status.

  2. Toggle to show event filters - to apply specific criteria to the activities synced to HubSpot, switch this toggle to show event filters. This will reveal the detailed filtering options below.

When show event filters is selected, you can configure the following criteria:

  1. Direction - determines whether to sync activities based on if they were initiated by a contact (inbound to your Aloware users) or by your Aloware users (outbound to the contact).

    Select the checkboxes for inbound, outbound, or both.

    1. Inbound - syncs activities initiated by contacts (e.g., a contact calls your Aloware number, a contact sends an SMS to your Aloware number).

    2. Outbound - syncs activities initiated by your Aloware users (e.g., an agent makes a call from Aloware, an agent sends an SMS from Aloware).

  2. Type - specifies which categories of communication activities are synced to HubSpot.

    Check the box next to each activity type you want to sync. Uncheck types you wish to exclude from syncing. Available types:

    • Calls - call activities

    • SMS - SMS/ text message activities

    • RVM - ringless voicemail activities

    • Email - email activities logged in Aloware

    • Note - manual notes added to contacts in Aloware

    • System Note - system-generated notes in Aloware

    • Appointment - appointment activities

    • Reminder - reminder activities

  3. Communication disposition status - filters activities based on their outcome or status. This helps control which specific results of communications are logged in HubSpot.

    Select the checkbox for the communication statuses you want to sync. Available statuses:

    • Completed - successfully connected calls

    • Abandoned - calls not answered or disconnected prematurely by the caller before connection

    • Missed - inbound calls that were not answered by an agent

    • Failed - outbound calls that could not be connected

    • Placed - outbound calls that were initiated

    • Set - this status is primarily used for appointment activities. When an appointment is created in Aloware, this status ensures the appointment event is synced to HubSpot.

  4. Contacts - defines which contacts' activities are synced to HubSpot.

    Select one of the following options:

    1. All contacts - activities for all contacts will be synced based on other selected filters.

    2. Disposed contacts - syncs activities only for contacts that currently have specific Aloware contact dispositions applied to them. If you select this, you will need to specify which contact dispositions qualify.

  5. Skip lines - excludes activities associated with specific Aloware phone lines from being synced. This is useful for ignoring activities from test lines or other lines not relevant to HubSpot logging.

    In the provided text field, enter the Aloware line names or numbers you wish to exclude, typically separated by commas.

  6. Duration - filters call activities based on their length.

    Specify the duration criteria for call activities to be synced (e.g., greater than seconds, less than seconds, or within a range). Input the values as prompted by the interface.

  7. Qualify contacts - this setting determines if new contacts from Aloware should be created in HubSpot if their first associated activity meets the other filter criteria you've set on this tab (direction, type, status, etc.)

    1. Disabled (default) - new contacts (and their initial activity) will be created in HubSpot regardless of whether their first activity matches the filters. Subsequent activities for that contact will then be subject to the filters.

    2. Enabled - a new contact will only be created in HubSpot if their first logged Aloware activity matches the configured filters. If the first activity doesn't match, neither the contact nor that initial activity will be synced.


Default filter settings

For initial setup and common use cases, the following filters are pre-selected when you show event filters. You can adjust these as needed:

  • Direction - inbound and outbound (both selected)

  • Type - all types selected (call, SMS, RVM, email, note, system note, appointment, and reminder)

  • Communication disposition status - all statuses selected (completed, abandoned, missed, failed, placed, and set)

  • Contacts - all contacts

  • Skip lines - none selected

  • Duration - no values entered (no duration filter applied)

  • Quality contacts - disabled
