Understanding HubSpot activity filter settings
HubSpot activity filters in Aloware control which communication events sync to your HubSpot contact records. By default, every supported activity syncs.
The filters let you narrow that flow by direction, type, status, contact, line, and call duration.
Turning event filters on or off
A single toggle at the top of the Filters tab controls whether Aloware applies any criteria before syncing.
When the toggle hides event filters (the default view), Aloware syncs all supported activity types, including calls, messages, and notes, without applying direction, status, or other criteria.
When the toggle shows event filters, Aloware reveals the detailed options described below and applies them to every activity before syncing.
Filtering by direction
Direction controls whether Aloware syncs activities based on who started them. Select the checkbox for inbound, outbound, or both.
Inbound syncs activities a contact starts, such as a contact calling your Aloware number or sending an SMS to it.
Outbound syncs activities your Aloware users start, such as an agent placing a call or sending an SMS from Aloware.
Filtering by type
Type specifies which categories of communication sync to HubSpot. Check each type you want to sync and uncheck the ones you want to exclude. The available types are:
Calls for call activities
SMS for text message activities
RVM for ringless voicemail activities
Email for email activities logged in Aloware
Note for manual notes added to contacts in Aloware
System Note for system-generated notes in Aloware
Appointment for appointment activities
Reminder for reminder activities
Filtering by communication disposition status
Communication disposition status filters activities by their outcome, which controls which call results reach HubSpot. Select the checkbox for each status you want to sync. The available statuses are:
Completed for successfully connected calls
Abandoned for calls the caller disconnects before connection
Missed for inbound calls no agent answered
Failed for outbound calls that could not connect
Placed for outbound calls that were initiated
Set for appointment activities, which syncs the appointment event to HubSpot when someone creates an appointment in Aloware
Choosing which contacts sync
The Contacts setting defines whose activities sync to HubSpot. Select one of two options:
All contacts syncs activities for every contact, subject to the other filters you set.
Disposed contacts syncs activities only for contacts that carry specific Aloware contact dispositions. When you choose this option, specify which dispositions qualify.
Excluding specific lines
Skip lines stops activities tied to specific Aloware phone lines from syncing. Use it to ignore test lines or other lines that do not belong in HubSpot. In the text field, enter the Aloware line names or numbers you want to exclude, separated by commas.
Filtering by call duration
Duration filters call activities by length. Enter the criteria you want, such as greater than a set number of seconds, less than a set number of seconds, or a range. Input the values as the interface prompts.
Controlling new contact creation
Qualify contacts determines whether a new Aloware contact appears in HubSpot when its first associated activity meets your other filter criteria.
Disabled (default) creates new contacts and their first activity in HubSpot regardless of whether that activity matches the filters. The filters then apply to every later activity for that contact.
Enabled creates a new contact in HubSpot only when its first logged Aloware activity matches the configured filters. If the first activity does not match, neither the contact nor that activity syncs.
Default filter settings
When you first show event filters, Aloware pre-selects a starting configuration for common use cases. Adjust any of these as needed:
Direction: inbound and outbound (both selected)
Type: all types selected (call, SMS, RVM, email, note, system note, appointment, and reminder)
Communication disposition status: all statuses selected (completed, abandoned, missed, failed, placed, and set)
Contacts: all contacts
Skip lines: none selected
Duration: no values entered, so no duration filter applies
Qualify contacts: disabled
