Aloware engagement timestamps in HubSpot

Aloware now supports syncing timestamp fields into HubSpot to track when a contact was first engaged, by call or SMS. These fields are designed to help teams measure Speed to Lead, the time between when a contact is created and when they first receive a response.

Once set up, these fields automatically update as your agents communicate with contacts in Aloware. They can be used in HubSpot filters, views, dashboards, workflows, and exports, making them useful for reporting and operational audits.

What are engagement timestamp fields?

Engagement timestamp fields record the exact date and time a contact first interacted with your team. This includes both inbound and outbound calls and texts.

You can use these fields to:

  • Track response times for each contact

  • Build reports to assess team behavior

  • Compare response time across contacts or segments

  • Automate workflows that rely on first engagement events


Engagement fields you can sync

Here are the available fields you can create and sync from Aloware to HubSpot:

Once mapped, these fields sync automatically and can be used in HubSpot filters, lists, dashboards, and workflows.


How to configure engagement properties in HubSpot

Follow these steps to create and sync the properties between Aloware and HubSpot:

Step 1: Create custom properties in HubSpot

  1. Go to Settings > Properties in HubSpot.

  2. Click Create property.

  3. For each field:

    • Object type - contact

    • Group - contact activity

    • Label - (e.g., first inbound call date time)

    • Field type - date and time picker

  4. Save and repeat for all six engagement fields.

Add a clear label and description to each property in HubSpot so your team knows what it tracks.

Step 2: Map the properties in Aloware

  1. In Aloware, go to Integrations > HubSpot > Property mapping.

  2. Locate the custom properties you created in HubSpot.

  3. Assign each one to its corresponding Aloware field

    Example: Map default_first_inbound_call_datetime to the first outbound call datetime field in HubSpot.

  4. Click Save to finalize the mappings.

Step 3: Add and use the fields in HubSpot

To view and work with these metrics:

  1. Go to Contacts > List view.

  2. Click Edit columns.

  3. Add the six engagement time properties.

  4. You can now:

    • Sort contacts by first engagement time

    • Filter based on date ranges

    • Export contacts with timestamp data for further analysis

These properties can also be used to compare engagement timestamps with other HubSpot fields, such as contact creation time.


Use cases and reporting tips

These fields help answer common performance and process questions:

  1. Are leads being contacted in a timely manner?

  2. Which team is responding fastest to new leads?

  3. Are most first engagements happening via call or text?

  4. How long does it take from contact creation to first touch?

Because the timestamps are automatically tracked and synced, they’re reliable for reporting without needing any manual input from agents.
