When an admin deletes a user in Aloware, the Delete User wizard asks what should happen to everything that user held: the lines they owned, the inboxes they were the last member of, and the contact lists under their name. It collects those decisions before the deletion completes, so no number is left ringing with nobody able to answer it and no list disappears without someone choosing that outcome.
This article is for admins who handle offboarding. Two roles come up throughout the wizard: a member is someone assigned to work an inbox, and a watcher is someone who can see an inbox and its history without being assigned its incoming work.
What the wizard covers
The wizard adds up to three steps to the deletion, plus a contact list reassignment prompt. Each part appears only when it applies to the user you are deleting.
Handle the lines. Appears when one or more lines route to the user's personal inbox. The wizard lists each line by name with its phone numbers, and you decide what happens to each one.
Add members to inboxes. Appears when the user is the last remaining member of one or more connected inboxes. The wizard lists each of those inboxes with its line count and unread count, and you add a member or a watcher to each.
Contact list reassignment. Appears when the user owns one or more contact lists. You transfer the lists to another user, or confirm that they should be permanently deleted along with the user.
Review. Always appears. It lists every line, every phone number, and every person you added, with the outcome for each, so you can check the whole set before anything is applied.
The wizard never lists an inbox that keeps another active member, because someone already covers that inbox.
Choosing what happens to each line
The Lines screen asks the same question for every line the user owned. Neither option is chosen for you, so nothing happens to a line until you answer.
Delete this line. The wizard then lists every phone number on that line so you can answer for each one.
Send it to an inbox. Pick an inbox from the selector, which offers both connected inboxes and personal inboxes. The line's phone numbers stay on the line, and the wizard does not ask about them.
For each phone number under a line you are deleting, you either move it to another line or remove it from your account. Moving keeps the number, on a line you pick. Removing it is permanent, and you cannot get that number back.
Reassigning contacts and lists
Aloware checks for owned contact lists when you start the deletion. Selecting a new owner from the dropdown transfers everything the user held:
Public and private lists
Static and dynamic lists
Integration lists, with sync mapping preserved
Power Dialer lists
Contact ownership
Contacts, filter criteria, and integration mappings stay intact under the new owner after the transfer.
If you skip reassignment, a confirmation warning names every affected list and asks you to confirm before the deletion proceeds. The lists are permanently deleted at that point.
Rules the wizard applies
A few rules govern what the wizard offers and what it accepts.
RCS and Local Presence lines. Neither appears as a destination when you move a number, and an RCS number can be moved but not removed from your account.
Numbers the wizard will not remove. On a trial account, a number can be moved but not removed. A number carrying an active call cannot be removed either, and the wizard refuses and names the reason.
Changing an answer. Switching a line back from delete to sending it to an inbox clears your number choices for that line. Cancelling at any point leaves the line exactly where it is, with no number moved and no list transferred.
Because removing a number cannot be undone, the Review screen is the point to slow down. If you are unsure about a number, go back and move it to another line instead. The same applies to the lists named on the Reassign data screen: naming a receiving user keeps them available, and continuing without one removes them for good.
What changes after the deletion
A few points describe the state of your account once the deletion runs.
The user's own inbox. It stays in place, marked as deleted, and keeps its communication history. Any watcher you added keeps access to it.
Lines and their history. A rerouted line carries new traffic to its destination inbox from the moment of the move, while messages received before the move stay in the original inbox. Deleting a line does not erase its history either, so the calls and messages that ran through it stay retrievable.
Transferred lists. The new owner sees every list in their account and can work it or redistribute it from there. Restoring a deleted contact does not restore that contact's list membership.
