After an AloAi Voice Agent ends a call, it can do two things with the conversation. Post-call data extraction fills in structured fields from the call, such as a summary, a customer type, or whether an appointment was booked.
Post-call actions email a summary of the call to the people you choose. Data extraction is set up in the Post-Call Data Extraction panel on the Configure tab, and emails on the Post-call actions tab. This article explains both.
To get there, open the Agents menu and click the agent’s name. The Post-Call Data Extraction panel is on the right side of the Configure tab, and email notifications are on the Post-call actions tab.

Post-call data extraction
After a call ends, an extraction model reads the conversation and fills in each field you defined. The value a field returns depends on its type.
Agent-specific and shared fields
An agent always captures two sets of fields:
Agent-specific fields are added in the agent’s Post-Call Data Extraction panel and captured on this agent’s calls only.
Shared fields apply to every agent in your organization. They are managed under Settings > Post-Call Data, not from the agent’s panel.
An agent with no fields of its own still captures your organization’s shared fields.

Adding a field
The Selector field form.
In the Post-Call Data Extraction panel, click Add and choose a field type:
Text captures free-form text, such as a detailed call summary.
Selector captures one value from a list of choices, such as a customer type.
Yes/No captures a yes or no value, such as whether an appointment was booked.
Number captures a number, such as the caller’s age.
Complete the field form:
Name is the label people see, such as Detailed Call Summary.
Key is the identifier used in data, exports, and APIs, written in snake_case, such as call_summary. Click the sparkle button to create a key from the name. Keep the key the same once the field is in use.
Description tells the model what to capture, such as “Did the user book an appointment?” Write it as a clear question or instruction, not just a label, because the model relies on it.
Optional lets the field stay blank. When it is on and the model cannot find the value in the conversation, the field is left empty, and the rest of the call data still saves, including the call summary, sentiment, outcome, other fields, and call cost. It is off by default. Some templates, such as the appointment booking templates, include optional fields.
Choices (Selector only) are the values the model must choose from. Click Add to add a row, and the trash icon to remove one.
Click Save.
Choosing the extraction model
The model selector next to Add sets which model performs the extraction. It is searchable and defaults to gpt-4.1-mini.
OpenAI GPT | Anthropic Claude |
gpt-4.1, gpt-4.1-mini (default), gpt-4.1-nano, gpt-4o, gpt-4o-mini, gpt-5.5, gpt-5.4, gpt-5.4-mini, gpt-5.4-nano, gpt-5.2, gpt-5.1, gpt-5, gpt-5-mini, gpt-5-nano | claude-opus-4-8, claude-sonnet-4-6, claude-haiku-4-5 |
Models are added and retired over time, so treat the live selector as the authoritative list.
Post-call email notifications
After a call ends, the agent can email a summary of the call to your team.
Before you start
Post-call emails need AloAi Voice Analytics to run automatically after each call:
Open the Account menu and, under Voice, click Voice Analytics.
Make sure Transcribe calls is on.
Turn off Transcribe on demand.
For more about these settings, see AloAi Voice Analytics configuration guide.
Turning on post-call emails
Go to Agents and open the voice agent.
Go to the Post-call actions tab.
Under Email notification, turn on Enable email notification.
Under Send to, select one recipient option:
Contact owner sends the email to the contact’s assigned owner.
Teams sends the email to the members of the Aloware Teams you select in Select Teams. Team membership is checked when each email is sent, so people added to or removed from a team are included or left out automatically. Select at least one team to save.
Specific users sends the email to the users you select.
All users sends the email to every user in your organization.
Optionally, under Send to specific email addresses, enter external email addresses, for example for partners or stakeholders. Press Enter after each address.
Click Save.
The Post-call actions tab also has Voicemail notification. Under Notify, select the users to notify when a caller leaves a voicemail.

Links in the email open the related record, such as the contact’s profile or the AloAi Agent.
Testing post-call emails
Place an inbound or outbound call with the agent.
Complete the conversation, for example by booking an appointment or answering a question.
End the call and wait for AloAi Voice Analytics to process it.
Check that the selected recipients receive the email.
