How to create SMS templates in Aloware admin and Talk

Why it matters

Missed calls happen. What matters is how quickly and consistently you follow up. Instead of typing the same “Sorry we missed you” message over and over, SMS templates let you send a tailored response in seconds. That means less time on repetitive typing and more time connecting with the next client.


How admins can create SMS templates

In Aloware, there are two ways admins can create SMS templates:

  1. User level

    At the user level, templates are created for one specific user only and aren’t shared across the account. Agents don’t have the option to create templates in Aloware Admin, so they need to set up their own in Aloware Talk settings.

  2. Account level

    At the account level, templates are created by admins in Aloware Admin and made available to all team members. This ensures consistency across the entire account.


Steps to create an SMS template in Aloware admin

  1. Log in to your Aloware Admin account.

  2. Go to the Users menu. (Only admins can create SMS templates in admin.)

  3. Select the user and click Settings.

  4. Open the SMS Templates tab.

  5. Click +New Template.

  6. Enter a label and the message body.

  7. (Optional) Add variables such as:

    • [first_name] → contact’s first name

    • [company_name] → your company’s name

  8. Click Save.


How agents can use SMS templates after a missed call

  1. Make a call as usual.

  2. If the client does not answer, log the call disposition.

  3. Scroll to the Send Message option.

  4. Select the relevant template (e.g., “Not Answered”).

  5. Click Send.

The message will automatically pull in the client and agent names, making the follow-up feel personal while saving time.
