Guide to using the update contact properties action in AloAi Agents

The update contact properties feature enhances customer data management by enabling AloAi Agents to capture and update important contact details—such as name, email, and date of birth—during customer calls.

These details are securely stored in the About this Contact section within Aloware for easy access. If integrated with CRMs like HubSpot, Pipedrive, or Salesforce, the updated information is automatically synchronized, ensuring customer data accuracy across all platforms.


Prerequisites: Initial setup for AloAi Agents

  1. Set up AloAi Agent

    Complete the AloAi Agent setup following the AloAi Agent setup guide. Configure prompts to ensure the agent is prepared to collect and update contact properties.

  2. Enable CRM integration

    Ensure that your CRM (e.g., HubSpot, Salesforce, Pipedrive) is integrated with Aloware so that updated contact information is automatically synchronized across platforms.


Setting up the update contact properties action

  1. Configure prompts for data collection

    Define specific points in customer conversations where the AloAi agent should collect and store data. The AI will capture and assign each detail to the corresponding property automatically.

    Example prompt:

    Can I get your last name, email, and date of birth to update your record?

  2. Add the update contact property action

    1. Navigate to the AloAi agent's instructions settings.

    2. Click the +Add action button and select the update contact property.

  3. Define properties to update

    Select pre-defined system properties, such as:

    1. First Name (Text)

    2. Last Name (Text)

    3. Email (Text)

    4. Address (Text)

    5. Country (Text)

    6. Phone Number (Text)

    7. Date of Birth (Date Picker)

    8. Time Zone (Text)

    Add custom properties if needed. For example:

    1. Price (Text)

    2. Stock Number (Text)

    3. Car URL (Text)

    4. Annual Revenue Salesforce (Number)

    5. Application Date (Date Picker)

Test and activate the feature

  1. Simulate a customer call

    Initiate a mock call to mimic a real customer interaction. You can enroll a contact to the AloAi Agent to do this. Read this guide to learn how.

  2. Update customer information

    Collect and verify updated contact details (e.g., email or phone number) during the call. Use clear prompts to confirm information with the customer.

    • Example prompt - "Hello, can I confirm your preferred email?"

    • Sample response - "[email protected]"

    • Agent confirmation - "Thank you. I’ve updated your email to [email protected]."

  3. Verify data syncing

    Confirm that the updated details are correctly saved in Aloware's About this Contact section and successfully synchronized with your integrated CRM.

Important configurations to consider

  1. Defining fields - decide which customer details are mandatory, such as name, contact number, or email.

  2. Data privacy compliance - ensure customer data, especially Personally Identifiable Information (PII), is handled in compliance with regulations.

  3. CRM setup - check integration configurations to ensure seamless syncing.

  4. Testing and validation - conduct thorough testing to confirm that data transmission, collection, and syncing meet your business needs.
