Aloware-HubSpot property mapping: SMS opt-out status

Map Aloware's SMS opted out field to HubSpot so each contact's SMS opt-out status syncs as true or false.

The SMS Opted Out field sends each contact's SMS opt-out status from Aloware to a HubSpot contact property. HubSpot receives true when the contact is opted out of SMS in Aloware, and false when it isn't. Aloware remains the source of truth for opt-out status, so the value only flows from Aloware to HubSpot.

Create the HubSpot property in HubSpot

  1. In HubSpot, go to Settings > Properties > Contact properties.

  2. Create a contact property with the Single-line text field type, for example Opt-out status.

  3. Save the property.


Map the SMS opt-out status in Aloware

  1. Log in to Aloware admin.

  2. Navigate to Integrations > HubSpot > Settings.

  3. Open the Contact Property Mapping tab and select + Add Mapping.

  4. In the Aloware field, select SMS Opted Out.

  5. In the HubSpot field, select the property you created, for example Opt-out status. The direction is locked to Aloware to HubSpot (→).

  6. Save your changes.


How the SMS Opted Out field works

Aloware applies SMS opt-out to the whole contact, not to a single number. If any of the contact's phone numbers (phone, mobile or fax) is opted out, HubSpot shows true.

HubSpot shows no value only when none of the contact's numbers are opted out.

What sets the value to true

Any of the following opts the contact out of SMS and sends true to HubSpot:

  • The contact replies STOP or UNSUBSCRIBE from any of its numbers.

  • A user manually opts out one of the contact's phone numbers.

  • The carrier returns error 21610.

  • The contact is marked as Do Not Contact (DNC).

SMS opt-out and DNC are separate

Marking a contact as DNC always opts it out of SMS, but opting out of SMS never sets DNC. To track SMS opt-outs in HubSpot, use this field instead of the DNC mapping.

Aloware owns the value

Aloware refuses to save this mapping as Inbound or Bidirectional. Each time Aloware sends the contact, it overwrites whatever is in the HubSpot property. If you plan to use an existing HubSpot property, compare the opt-out counts in both systems before you map it.

When the value is sent

The value follows the Contact Update setting in the Sync tab. If Contact Update is off, Aloware only sends the value when the contact is created, not when its opt-out status changes later.

A bulk opt-in or a bulk DNC removal doesn't reach HubSpot right away. The new value is sent the next time the contact changes. DNC works the same way.


What agents see in Aloware Talk

SMS opt-out status appears on the contact's record, so agents know how they can reach the contact before they call or text.

When a contact is opted out of SMS

The contact record shows that SMS is blocked and calls are still available. It also shows the opt-out reason and the number that triggered it. Agents can't text the contact from any of its numbers, but they can still call. HubSpot shows true.

When a contact is marked as DNC

The contact record shows that both calls and texts are blocked. Marking a contact as DNC also opts it out of SMS, so HubSpot shows true.

When a contact opts back in

A contact can opt back in by replying START. Once none of the contact's numbers are opted out, HubSpot shows false the next time Aloware sends the contact.

Removing DNC doesn't turn SMS back on, so a contact that was marked as DNC stays opted out of SMS until it opts back in.

Editing the property in HubSpot

Changes made to the opt-out property in HubSpot don't reach Aloware. Aloware overwrites the value the next time it sends the contact.


Verify the mapping

After saving the mapping:

  1. Open a contact in Aloware and opt out its primary number.

  2. Open the same contact in HubSpot and confirm the property shows true.

  3. On another contact, opt out a secondary number, such as the mobile number. Confirm HubSpot also shows true.

  4. Opt the number back in. Confirm HubSpot shows no value, unless another number on the contact is still opted out.


Sample HubSpot workflow: Act on SMS opt-outs

This example sets up a HubSpot workflow that runs when Aloware reports that a contact has opted out of SMS. The workflow notifies the contact owner and removes the contact from an SMS follow-up list, so your team stops planning text outreach for that contact.

Scenario: A sales team adds leads to a HubSpot list called SMS Follow-up, and agents text everyone on it. When a lead replies STOP, the team wants the contact owner to know and the lead taken off the list.

Step 1: Create the workflow

  1. In HubSpot, go to Automation > Workflows.

  2. Click Create workflow and choose From scratch.

  3. Select Contact-based and start with a blank workflow.

  4. Name the workflow, for example SMS opt-out follow-up.

Step 2: Set the enrollment trigger

  1. Click Set up triggers and choose When filter criteria is met.

  2. Select Contact properties and choose Opt-out status.

  3. Set the filter to is equal to any of true.

  4. Save the trigger.

The property is single-line text, so the filter compares the exact value true. Aloware sends it in lowercase.

Step 3: Add the actions

  1. Add a Send internal notification action. Send it to the contact owner with a message like "This contact opted out of SMS in Aloware. Don't send texts. Calls are still allowed."

  2. Add a Remove from a static list action and choose SMS Follow-up.

  3. (Optional) Add a Create task action for the contact owner, for example "Review opted-out contact and follow up by call."

Step 4: Allow re-enrollment

A contact can opt out, opt back in by replying START, then opt out again. To run the workflow every time, open the trigger settings and turn on Re-enrollment for the Opt-out status filter.

Step 5: Review and turn on

Review the workflow, then click Turn on. Choose whether to enroll contacts who already meet the criteria. Choose Yes if you've already mapped the property and want to catch existing opted-out contacts.

Things to keep in mind

  • Calls are still allowed: An SMS opt-out only blocks texts, so the notification and task tell the owner to follow up by call instead. If the contact is marked as DNC, calls are blocked too.

  • The HubSpot value isn't always instant: A bulk opt-in or bulk DNC removal reaches HubSpot only the next time the contact changes. If Contact Update in the Sync tab is off, the value is only sent when the contact is created. So the workflow may run later than the opt-out happened in Aloware.

  • Don't edit the property in the workflow: Aloware overwrites the Opt-out status property each time it sends the contact. Use the workflow to react to the value, not to change it.

Optional: a workflow for contacts who opt back in

To add contacts back to the list when they opt back in, create a second workflow with the trigger Opt-out status is equal to any of false. Add an Add to a static list action for SMS Follow-up. HubSpot receives false only when none of the contact's numbers are opted out.
