Importing contact lists

Lists in Aloware allow admins to share contact groups with the entire organization. Here are the methods to import lists:


Method 1: Importing contacts from HubSpot (Dynamic or Static)

If your organization uses HubSpot, you can import contact groups directly into Aloware.

  1. Open your Aloware admin account and go to the Lists menu.

  2. Click the Create List button and select Import from HubSpot.

  3. Choose the HubSpot contact group you want to import.

  4. Click the Import button to start the process.

  5. Once completed, a confirmation message will appear.

Important: HubSpot integration must already be set up in your Aloware account to use this feature.

To make the list dynamic, select the Keep list in sync with HubSpot. Otherwise, the list will be static.


Method 2: Uploading a CSV file in Aloware Talk (Static)

If contact data is stored outside HubSpot, you can upload it using a properly formatted CSV file. The Import Wizard in Aloware simplifies this process.

  1. Navigate to the Lists menu in your Aloware admin dashboard.

  2. Click the Create List button and select Import CSV.

  3. Upload your CSV file to the import wizard.

    1. Confirm DNC compliance - agree to the DNC regulations to proceed. Consider downloading contact templates for structured data. Click Next.

    2. Upload contacts

      • Fill out template - complete the provided template.

      • Upload file - drag and drop the file or browse to select it.

      • Preview - Aloware will show a preview of the first 10 rows for column property assignment. Map your data columns in the file to match Aloware’s fields. For example:

        • "First Name" → "First Name"

        • "Phone" → "Phone Number"

      • Click Next Step to review your contact list.

    3. Configure list settings

      • List name - (required) assign a name for your list.

      • Update existing contacts - choose whether to overwrite existing contact data with CSV file data.

      • Save unknown columns - decide if unset columns should be saved to the contact's notes.

      • Multiple contacts for each phone number - enable to create separate contacts for each phone number found.

    4. Start import - click Start Import after configuring your settings.

    5. Save and convert list

      • The list saves under the personal lists of the admin.

      • To make it public, click the three-dot menu under the Actions column and select Convert List to Public.

To avoid errors during the upload, make sure your CSV meets these criteria:

  • Include column headers in the first row (e.g., Name, Email, Phone number).

  • The required fields are First Name, Last Name, and Phone Number.

  • The maximum file size is 10MB.

Once imported, a confirmation message will appear, and the new list will be available in your dashboard. Note that this list cannot be converted to dynamic.


Method 3: Uploading a CSV file in Aloware admin (Static)

This method follows the same process as Method 2, executed directly in the Aloware admin interface. The resulting list will also be static.
