How to Transition Leads Between Intensive and Follow-Up Sequences in Aloware

Enrolling contacts into different sequences in Aloware streamlines your workflow and boosts engagement with your leads. This feature seamlessly transitions contacts from one sequence to another based on specific triggers or actions, ensuring they get the most relevant communication from your team.


How It Works

When you enroll a contact into another sequence in Aloware, they are immediately removed from their current sequence and added to the new one. This action overrides any pending steps in their current workflow, ensuring they start receiving communication from the new sequence without delay.

Automating the transition between sequences saves time and ensures consistent follow-up.


Sample Use Case: Managing New and Older Leads

Imagine you run a sales team and use Aloware to manage your lead outreach. You have two sequences for your leads:

  1. An intensive follow-up sequence for your new leads that contacts the lead 10 times in 3 days.

  2. A gentle follow-up sequence that follows up 10 times over 30 days for your older leads.

Here’s how you can automate the process to ensure effective lead management:

Step 1: Create an Intensive Follow-Up Sequence for New Leads

To engage new leads quickly and effectively, you need to set up an intensive follow-up sequence. This sequence ensures that new leads receive frequent contact attempts in a short period, increasing the chances of immediate engagement.

  1. Log in to Aloware - Access your Aloware dashboard.

  2. Create a New Sequence - Navigate to the sequences section and click on “Create New Sequence.” Make sure to enable "Remove lead if they respond", and "Remove lead of the opt-out" in the Settings tab. Follow this guide to start creating your sequence.

  3. Define Contact Attempts - Set the sequence to contact new leads 10 times within 3 days. This can include a mix of calls, texts, and emails.

  4. Customize the Content - Personalize the messages to resonate with new leads. Highlight key benefits, offers, or any urgent information that might prompt a quick response.

  5. Add Triggers - Learn how to set triggers to enroll contacts in the sequence. Triggers can be based on lead behavior or specific actions taken by the lead.

  6. Enroll Leads to Other Sequence

    Use the "Enroll to Other Sequence" step in the end to automatically transition leads from the intensive sequence to the gentle sequence if they do not respond within the first 3 days.

  7. Save and Activate - Save the sequence and activate it for new leads.


Step 2: Create a Gentle Follow-Up Sequence for Older Leads

Not all leads will respond during the intensive phase. For these leads, a gentle follow-up sequence ensures they are still engaged without overwhelming them. This sequence spreads out the contact attempts over a longer period, maintaining a presence in their minds while giving them space.

  1. Create Another Sequence - In the sequences section, create a new sequence for older leads.

  2. Define Contact Attempts - Set this sequence to follow up with leads 10 times over 30 days. This should be less frequent than the intensive sequence.

  3. Personalize the Content - Customize the messages to reflect a softer approach. Include valuable content, such as helpful tips, industry news, or gentle reminders about your product or service.

  4. Save and Activate - Save the sequence and activate it for older leads.


Step 3: Transition Leads Between Sequences

To ensure a smooth transition between the intensive and gentle sequences, follow these steps:

  1. Monitor Responses - During the 3-day intensive sequence, track lead responses.

  2. Automate Enrollment - Configure the “Enroll to Other Sequence” step at the end of the intensive sequence. If a lead does not respond, they will automatically be enrolled in the gentle follow-up sequence.

  3. Confirm Transition - Ensure that the transition is seamless and that the lead continues to receive follow-up communications without interruption.

Confirm the enrollment and monitor the lead’s progress in the gentle sequence to ensure they continue to receive follow-up communications.

  1. New Lead Entry - Contact is enrolled in the intensive follow-up sequence.

  2. Engagement Monitoring - Contact is engaged frequently for 3 days.

  3. No Response and Continued Follow-up - Contact is automatically transitioned to the gentle follow-up sequence and receives periodic follow-ups for the next 30 days.
