How to manually transcribe calls in AloAI Voice Analytics

Getting started: Wait for the call record to generate

After completing a call, Aloware processes the conversation and creates a call record.

Why this is important?

No transcripts can be generated until the system finalizes the call record, which includes important call details like duration, participants, and conversation logs.

Factors to consider

The conversation must meet the minimum talk-time requirement configured in your account for the transcription to work. Make sure to check these settings to avoid confusion.

To review or adjust the minimum talk-time settings, contact your admin or refer to the Aloware settings guide.

Step 1: Enable transcription settings

For manual transcription to work, transcription must first be enabled in your account settings.

  1. Log in to Aloware admin, and navigate to Account > AloAi Voice Analytics.

  2. Enable transcription for all users (or restrict it to selected users based on your setup needs).

Why this is necessary?

Enabling transcription activates Aloware's tools for analyzing audio from calls and converting them into text. Without this setting, the manual transcription feature will not work. If you are not an admin, reach out to your admin to enable this on your behalf.

Step 2: Generate the transcription

Once transcription settings are enabled and the call record has been fully created, you can move on to generating the transcript.

  1. Navigate to the call record. You can find it in:

    1. The contact's conversation tab, or

    2. the call communication details section within Aloware.

  2. Click the Generate Transcription button.

What happens next?

Aloware processes the audio from the selected call and converts it into a written transcript. Once completed, the transcript will appear directly within the call record.

Step 3: Creating a call summary

After generating a transcript, you can further synthesize the information into clear call summaries.

To manually summarize a call:

  1. Open the call record where the transcript was generated.

  2. Review the transcript for key points.

  3. Add a manual summary directly in the notes section of the call record for future reference.
