AloAi Agents: How to enroll and manage contacts

Learn how to enroll, disenroll, and re-enroll contacts with AloAi Agents in Aloware Talk, and track every change in the audit logs.

AloAi Agent enrollment guide

After your admin sets up AloAi Agents (Aloware's automated voice and text assistants), you can enroll contacts through Aloware Talk, either one at a time or in bulk.

Enrollment is managed with the Enrollment Control feature. This article shows you how to enroll and disenroll contacts, re-enroll them, and review the audit logs that track every change.


What the Enrollment Control feature does

Enrollment Control lets you manage which contacts interact with specific AloAi Agents. With it, you can:

  • Enroll contacts into specific AloAi Agents

  • Disengage contacts from AloAi Agents when needed

  • View which agents are currently assigned to each contact

  • Manage automated interaction settings for individual contacts

This gives you full visibility over your automated communications and lets you change assignments at any time.


What happens after enrollment

Once a contact is enrolled, the AloAi Agent handles interactions automatically based on its configuration. It calls at scheduled intervals, sends reminders, and collects updated details without manual intervention, while keeping a complete record of every communication for review. Agents can also initiate outbound calls, so engagement is fully agent-driven.

Common uses

Use Enrollment Control to delegate routine communication tasks such as subscription renewals, follow-ups, and billing reminders and payment updates.

For example, if a customer needs to update payment information or receive reminders, assign them to the appropriate AloAi Voice Agent and it will manage the outreach from there.


Single contact enrollment

This functionality extends to outbound calls where AloAI agents can dynamically initiate conversations after enrollment is complete.

  1. In Aloware Talk, open the contact history.

  2. In the right-side panel, locate the AloAi Agent Enrollment card.

  3. Click the Enroll to Agent button and select from the list of available bots.

  4. The bot will automatically initiate a conversation using the last communication line with that contact. If no prior history exists, it defaults to the outbound line set during setup.

Once enrolled, the bot immediately begins interacting with the contact based on its purpose. You can also enroll a contact into multiple AloAi Agents at the same time.

For example, a billing reminder bot sends periodic payment reminders, while a Q&A bot responds to inquiries like business hours, product availability, or troubleshooting information.

Bulk contact enrollment

Bulk enrollment can also target specific lists uploaded into Aloware, aligning closely with AloAI's outbound calling strategy.

  1. In Aloware Talk, navigate to the contacts menu.

  2. Select the contacts you want to enroll in the bot.

  3. Click More and select Enroll in AloAi Agent.

  4. In the AloAi Agent enrollment modal, click Enroll on the available bots.

  5. You can view the history and flow of communication in the contact's history.


Disenrolling a contact from a bot

When you disenroll a contact from an AloAi Agent, you immediately stop all interactions between them and remove the contact from the agent's workflow. Use disenrollment if the contact no longer requires assistance from the agent or if you want to reset their engagement history for a fresh start.

After disenrollment, the AloAi Agent no longer recognizes or interacts with the contact, which prevents unnecessary communication and keeps workflows focused.

Steps to disenroll a contact from an AloAi Agent

  1. Navigate to the enrollment control card in the contact profile.

  2. Review the list of currently active AloAi Agents.

  3. Select the AloAi Agent you wish to disenroll the contact from.

  4. Click on Disenroll from agent. The AloAi Agent will stop interacting with the contact immediately.


Re-enrolling a contact in an AloAi agent

The Re-Enroll button restarts the session between a contact and an AloAi Agent with one click. This is useful when:

  • The contact accidentally ended the interaction.

  • The agent needs to reinitiate outreach with updated information.

  • The previous session expired and a fresh one is needed.

Steps to re-enroll a contact

  1. In the Enrollment Control card, locate the currently active AloAi Agent.

  2. If the contact is still enrolled, a Re-Enroll button will appear.

  3. Click Re-Enroll to restart the session.

  4. A confirmation message appears, and the new session is logged in the audit trail.

Re-enrollment maintains continuity while allowing the agent to re-engage the contact without starting from scratch.


Audit Logs: Tracking AloAi agent interactions

Every interaction between AloAi Agents and your contacts is recorded in the contact audit logs, which help you track changes and understand interaction histories.

Audit logs capture key details:

  • When a contact was enrolled or disengaged from specific AloAi Agents

  • Who performed the enrollment or disenrollment action

  • A timeline of all engagement points for each AloAi Agent

Use these logs to resolve disputes or clarify changes by referencing past actions, monitor activity for compliance, troubleshoot issues, and conduct internal reviews.
