Aloware-HubSpot property mapping: Last engagement properties synchronization

Sync Last Engagement fields from Aloware to HubSpot in real time, keeping inbound and outbound interaction timestamps accurate.

The Last Engagement property synchronization automatically updates engagement timestamps from Aloware to HubSpot. Whenever a call or message occurs in Aloware, the corresponding HubSpot contact properties are updated with the latest engagement information.

This synchronization helps keep contact records current without requiring users to manually update engagement dates in HubSpot.


What engagement properties are synchronized?

The integration synchronizes the following engagement properties from Aloware to HubSpot.

  • Last inbound and outbound engagement - stores the date and time of the most recent interaction, whether it was an incoming or outgoing call or message.

  • Last inbound engagement - stores the date and time of the most recent incoming call or message.

  • Last outbound engagement - Stores the date and time of the most recent outgoing call or message.

Note: These properties are synchronized from Aloware to HubSpot only. Changes made directly to these properties in HubSpot are not synchronized back to Aloware.


Before you begin

Before configuring these properties, make sure:

  • The Aloware and HubSpot integration is already connected.

  • Contact Property Mapping has been configured.

  • You have permission to create custom properties in HubSpot.


Configure the engagement properties

Step 1: Create custom properties in HubSpot

In HubSpot, navigate to: Settings > Properties > Manage properties > Create property

Create the following custom properties using the Date and time picker field type:

  • Last inbound and outbound engagement

  • Last inbound engagement

  • Last outbound engagement

Step 2: Map properties in Aloware

Map each HubSpot property to its corresponding Aloware engagement field.

These mappings have a fixed synchronization direction from Aloware to HubSpot and cannot be reversed.

Step 3: Configure time zone settings

To ensure engagement timestamps display correctly, verify that both Aloware and HubSpot use the same time zone.

Using different time zones may cause timestamps to appear different even though the synchronization is functioning correctly.


Verify the synchronization

After completing the configuration, perform a few test interactions to confirm that synchronization is working as expected.

  1. Check contact properties for setup

    Check that the custom fields (Last inbound and outbound engagement, Last inbound engagement, Last outbound engagement) are visible and correctly mapped for synchronization.

  2. Edit contact card properties

    Modify the contact record in HubSpot to ensure the engagement fields are correctly displayed and mapped.

    Ensure the fields mentioned above reflect real-time updates for engagement data.

  3. Test data synchronization with calls or messages

    Initiate test interactions to confirm the synchronization is working effectively:

    1. Send a test outbound message or call to the contact.

    2. Receive a test inbound message or call from the contact.

    3. Observe whether HubSpot reflects updates for the relevant properties (Last inbound and outbound engagement, Last inbound engagement, or Last outbound engagement).

  4. Verify property timestamps

    Compare engagement properties between Aloware and HubSpot to ensure timestamps and data are accurately synchronized.

    • Last inbound and outbound engagement - verify the timestamp for the most recent interaction (inbound or outbound).

    • Last inbound engagement - ensure the latest inbound message or call timestamp is accurate.

    • Last outbound engagement - verify outbound message or call timestamps.

  5. Check synced contacts in HubSpot manage properties

    1. Go to Manage properties in HubSpot.

    2. Search for specific properties (e.g., Last inbound and outbound engagement) to locate corresponding data.

    3. Click on the Used in option to see details, including the number of contacts synchronized with the property.


Maximizing visibility and efficiency for admins

The synchronized engagement properties allow admins to view the latest engagement timestamps directly in HubSpot. Because these properties are updated automatically from Aloware, they can be used in HubSpot workflows, reports, and contact filters without requiring manual updates.

For example, admins can create workflows based on the last engagement date, build reports that measure communication activity, or filter contacts according to their most recent interactions.


Enhanced productivity and focus for agents

Agents can view the latest engagement timestamps directly from the HubSpot contact record instead of checking conversation history in Aloware. This helps them determine when a contact was last engaged and identify which contacts may require follow-up.
