Configuring integration system reports recipients and notifications

The System Reports Recipients feature enables admins to efficiently assign roles for receiving integration-related reports and notifications. By configuring this feature, businesses ensure that critical integration updates and issues are communicated to the appropriate individuals, facilitating timely actions and maintaining operational workflows.


Configuring system reports recipients

To assign roles for receiving system reports and notifications,

  1. Navigate to report settings

    1. Go to Account > Report settings in your admin account.

    2. Locate the system reports recipients section.

  2. Assign notification roles

    Choose roles for receiving integration reports: billing admin, company admin, company supervisor

  3. Save your changes - once the roles are configured, click the Save button to apply the settings.


Email notification process and triggers

Notifications are an integral part of integration management. Automated email alerts keep key stakeholders informed about changes or disruptions in system integrations.

Notification triggers

  1. Re-authentication required

    Triggered when the CRM connection (e.g., HubSpot, Salesforce, Zoho) is interrupted and requires reconnection. Alerts recipients about the broken connection and provides reconnection guidelines.

  2. Contact mapping errors

    Sent when contact mapping between systems faces discrepancies or failures.

    Identifies affected records and includes recommendations for resolution.

  3. Data sync events

    Notifications are generated for:

    1. Push and Pull operations of contact data

    2. Synchronization of user records

    3. Pulling Zoho views and syncing associated data.


Email content overview

Notification emails aim to provide concise and relevant information to allow prompt and effective responses to integration issues.

Explanation of the disconnection issue, reconnection steps, and deadlines for resolving the disruption.

Contact mapping errors

Records affected, specific error details, tips for troubleshooting and corrective actions.

Data sync events

Overview of completed operations, warnings for failures, and my required follow-ups.

Additionally:

  1. Notifications will include pertinent deadlines and recommended actions to ensure the issue is resolved promptly.

  2. All notifications are sent with a BCC recipient: for tracking escalation procedures.

  3. The list of additional recipients includes users listed under integration reports.

Integration settings and action buttons

Within the integration settings, action buttons provide navigational and operational flexibility:

  1. Back and Next buttons

    Allow seamless navigation across tabs within the integration settings (e.g., Sync, Filters, Communication tabs).

  2. Reset button

    Available for tabs such as Sync, Communication, and Filters (if these features are enabled). Resets the current tab to its default or system-recommended values.

  3. Save button

    Saves changes made across all tabs, including:

    • Sync settings

    • Contact Property Mapping

    • Filters configurations

    • Communication preferences

Using these buttons, admins can efficiently review and apply updates to the integration settings while avoiding errors through the reset functionality.
