A guide to sending SMS and MMS with Aloware Talk

Aloware smart encoding keeps SMS and MMS messages readable, even with emojis or special characters, for clear communication.

What is smart encoding?

Aloware Smart Encoding ensures your SMS messages especially those with emojis, special characters, or non-English letters are delivered correctly. It prevents message splitting or formatting issues so your texts arrive just as you intended.


Ways to send a text message in Aloware Talk

Option 1: From the quick access menu

  1. Click the phone icon at the top right of the page, then select message.

  2. Choose a line, then enter the contact’s name or number.

  3. Type your message in the box below.

  4. Click send.


Option 2: From the communications menu

  1. Navigate to the communications menu and select the contact you want to reply to.

  2. Click reply and a new browser tab will open with the contact's details, where you can send a text message.


Option 3: From the inbox

Go to Inboxes and choose a contact from any inbox you're part of. Once you select a contact, their details will appear. Just type your message in the box at the bottom and click Send.


Option 4: From the contact page

  1. Go to contacts and click the message icon under actions for your chosen contact.

  2. Follow steps 2 to 4 in the communications page section.


How to send multiple media files (MMS)

You can attach images, documents, or GIFs to your messages. To send media files (MMS):

  1. Click the paperclip 📎 icon and add your files. Drop or browse files from your device.

    • You can upload multiple files.

    • File limits: Images up to 5MB; other file types under 600KB.

  2. You can also select the GIF icon then add the images.


How to view images in a conversation

When someone sends an image in a conversation, you can view it without downloading it first.

Clicking an image attachment opens a full-size preview in a pop-up window (a modal, or lightbox) over the conversation.

To view an image:

  1. Click any image attachment in a conversation to open the full-size preview.

  2. Close the preview with the close button or by clicking outside the image.

  3. Use the download action as a separate, explicit step when you want to save the file.

The preview works for common image formats, including PNG, JPG, GIF, and WEBP.

The image preview is available across the surfaces where attachments appear: the Inbox, the Power Dialer messenger, the HubSpot messenger, and the desktop app. No setup is required, and the behavior is on automatically for all users.


How to schedule a message in Aloware Talk

You can schedule text messages in Aloware Talk to be sent at a later date and time.

  1. In the message box, click the drop-down in the send button, and click schedule send.

  2. Set the date and time you want your message to be sent. Take note that the schedule should be on a future date or time.

  3. Click the schedule send button. A notification at the bottom of your screen confirms that the message has been successfully scheduled. The scheduled message is saved in the schedule message section.


How to view scheduled messages

  1. Navigate to the Scheduled Messages section on the right-hand panel of your screen.

  2. Click the View Scheduled Messages button to open the list.


How to delete the scheduled message

  1. In the Scheduled Messages box, click the trash icon next to the message you want to delete.

  2. A confirmation pop-up will appear. Click confirm to proceed.

  3. Once deleted, a notification will appear confirming the action was successful.


Deleting a line with pending scheduled messages

Scheduled messages are tied to the line they were created from. When you delete a line, Aloware warns you about any pending scheduled messages on that line and cancels them automatically, so nothing is left behind to fail later.

To delete a line that has pending scheduled messages:

  1. Open the line you want to remove and start the deletion.

  2. Read the confirmation dialog. If the line has pending scheduled messages, the dialog warns you that those messages will be dropped when you delete the line.

  3. Click confirm. Aloware removes the line and cancels the scheduled messages that were tied to it.

You will not see send failures from the deleted line, and scheduled messages on your other active lines continue to send as normal.
