The Ringless Voicemail (RVM) broadcast feature in Aloware Talk allows admins and supervisors to send RVMs directly to a contact's voicemail inbox without ringing their phone.

This tool helps businesses communicate with their contacts at scale without disturbing them with calls. The user can upload or record voicemails and manage broadcast settings like throttling and contact lists.

Key features

  1. Ringless voicemail - send voicemails directly to the inbox without ringing the contact's phone.

  2. Custom messaging - record a custom voicemail or upload an MP3/WAV file.

  3. Admin access - only admins and supervisors can use this feature, ensuring compliance and control.

  4. Tracking - see how many messages were sent, failed, and delivered.

Use cases

  • Event reminders - send event details or reminders to a large group of attendees without disturbing them with calls.

  • Sales campaigns - reach out to leads or clients with promotional messages directly in their voicemail inboxes.

  • Follow-up messages - Use RVMs to follow up with contacts after meetings or engagements without requiring them to answer a call.

How can a business admin use this?

Admins can utilize the RVM for seamless campaign management and audience outreach. To use this feature:

  1. Navigate to Broadcast Talk and start a New Bulk RVM

Go to the Broadcast Talk section and select "New Bulk RVM" to begin setting up the broadcast.

  2. Select a list or filter contacts

Begin by selecting a contact list, applying filters, or using an integration to choose the contacts who will receive the RVM.

    1. By list - click the 'by list' button, select your desired list, and then click the 'next' button. A preview will show all the contacts you've chosen for the broadcast.

    2. By filter - select the 'by filter' tab, then click the 'add filter' button to set your search criteria for finding contacts. Read more about broadcast filters in this guide.

    3. By integrations - if your Aloware is actively integrated with HubSpot or Zoho, you can synchronize their contact lists.

  3. Record or upload a voicemail message

Once the contacts are selected, either record a voicemail message or upload a pre-recorded file (MP3 or WAV format).

  4. Select your line and adjust throttling

Choose the line from which the RVM will be sent, and adjust the throttling settings to control how quickly the voicemails are sent.

  5. Preview and confirm the broadcast

Review all the details of your RVM broadcast, including the selected contacts, message line, and throttling settings. Confirm the setup before sending.

  6. Send the RVM broadcast and monitor results

Once the RVM broadcast is sent, you can monitor the results, including how many messages were successfully delivered, and track any failures (e.g., due to international numbers).

How can agents use this?

Due to admin permissions, RVM broadcast is typically available only to admins and supervisors. If an agent is granted access, they can follow similar steps.

For steps on granting agents access to broadcast features, see our user access guide.

How does this relate to other Aloware tools?

RVM broadcast complements the general broadcast tool but is specialized for voicemail-only messaging, offering a non-intrusive alternative to direct calls. It works well alongside other contact management tools, making it easy for admins to apply segmentation or filtering to target specific contact groups effectively.

Important configurations

For optimal and compliant use of RVM broadcast, ensure the following configurations:

  1. Audience selection - select the right contact list, filter, or integration for precise targeting.

  2. Throttling adjustment - control the delivery rate to manage message volume.

  3. Line selection - choose an appropriate line for consistent message delivery.

  4. Compliance check - ensure that the message meets regulatory standards for bulk automated messaging to avoid violations.
