How to send a broadcast in Aloware Talk

What is Broadcast in Aloware Talk?

Broadcast is the Aloware Talk feature that lets you send the same SMS message to many contacts at once, instead of texting each person individually. This article walks you through accessing Broadcast, sending a bulk message, and checking the status of your campaigns.

Admins handle the access and line settings described in the next section, while agents use Broadcast day-to-day to send the messages.

Broadcast is available on the uPro and xPro plans.


Before you start

Broadcast access is controlled by your admin. An agent can only use Broadcast if an admin has turned on the Send broadcast permission in the agent's profile under Aloware admin > user profile settings.

For RCS messaging, the Broadcast must use a Line with RCS enabled. RCS is available as a message type only when the selected Line supports it.

A note on how replies work: Messages go out to many recipients, but their replies come back to you as individual one-to-one conversations. Recipients cannot see or reply to each other.


How to access broadcast

  1. Go to your Aloware Talk account.

  2. Click the Broadcast menu.

This opens the Broadcasts page, where you can create new campaigns and review existing ones.

How to send a broadcast

  1. Start a new broadcast.

    Click +New Bulk Message.

  2. Select your contacts.

    You can choose contacts in three (3) ways:

    1. By list - Click By List and pick a predefined contact list. Click Next to see a preview of the total contacts selected. The preview also shows any contacts on your Do Not Contact (DNC) list, so non-compliant numbers stay excluded.

    2. By filter - Click By Filter and apply filters to narrow down the contacts you want to include in the Broadcast. This lets you select contacts based on the criteria available in the contact list.

    3. By integrations - If your Aloware is connected to HubSpot or Zoho, you can sync contact lists directly from those integrations.

  3. Assign the line and throttle settings

    Choose the line the broadcast will be sent from.

    If Line Management is enabled, only lines tied to inboxes you belong to appear in the selector.

    Throttling controls how quickly messages are sent out.

  4. Select the message type and compose your message

    Select the message type you want to send. You can choose Text or RCS when available for the selected Line.

    When RCS is selected, the message is sent as RCS to recipients whose device and carrier support RCS. RCS messages can include rich content such as images, buttons, and suggested replies.

    Recipients who cannot receive RCS receive the applicable SMS or MMS fallback, allowing the Broadcast to continue across a mixed contact list.

    For SMS and MMS, include the opt-out phrase Text STOP to unsubscribe at the end so the broadcast stays compliant. Click Next when you're done.

  5. Review credits

    Sending a broadcast deducts from your Aloware credit balance, so confirm you have enough credits before continuing.

    The broadcast cost calculator provides an estimate. Actual carrier charges may vary slightly depending on message type, emoji use, and the phone number sending the message.

  6. Set the schedule

    • Now - Send the message right away.

    • Pick a time - Schedule the message by selecting a day and time. If an admin has set predefined broadcast timings in the Account menu, you cannot pick a time outside that window.

  7. Preview and send

    The final preview shows the total number of contacts, the assigned line, your message, the schedule, throttling settings, and the estimated cost. Review everything, then send.


RCS Broadcast behavior

When an RCS Broadcast is sent, each recipient is handled according to their RCS capability. RCS-capable recipients receive the message as RCS, while recipients who cannot receive RCS receive the applicable SMS or MMS fallback.

RCS Broadcasts follow the existing carrier throttling and compliance limits. Sends are paced as needed rather than exceeding these limits.

Broadcast reporting distinguishes RCS sends, deliveries, and read receipts, where available, from SMS and MMS metrics.

For a mixed Broadcast, reporting shows which messages were delivered as RCS and which fell back to SMS. Overall Broadcast totals include RCS sends. An empty or invalid contact list is blocked with a clear validation message.


Checking broadcast status

Go to the Broadcasts page to see your campaigns. By default, it shows broadcasts from the last 7 days, and you can filter by status: New, Enrolling, Sent, Paused, Stopped, or All.

A chart above the list summarizes your broadcast activity so you can spot trends at a glance.


Checking broadcast activity

After a broadcast is sent, you can review per-contact activity:

  1. On the Broadcasts page, click the three-dot menu next to your broadcast.

  2. Select Activity.

This opens the communications page with a list of contacts who received the message. Click any contact to see their full communication history, including the exact message they received and any replies.
